Checking a Child In or Out at the Class Kiosk
St. Francis of Assisi Catholic Church · Faith FormationHow to find a child at the class kiosk, check them in when they arrive, and check them out again with their family's pickup code.
You are a Faith Formation volunteer or catechist running the check-in kiosk at your classroom door. You do not sign in — the parish gives you a link already tied to your class.
Every child in a Faith Formation class must leave with someone the parish trusts. The family pickup code is the proof of that trust. The parish gives it to the family, not to the kiosk. Nobody may take a child out of class without it, except through the staff-PIN override the parish office controls.
What you will do, in one sentence
Search for a child at the kiosk, check them in when they arrive, and check them out again with their family's pickup code.
Last verified against the staging system on 2026-10-11. This guide has no pictures yet. The kiosk needs a live class token and a scheduled session, so the screenshots come from a capture pass on staging with an invented QA training child. Prepared 11 October 2026.
1. Opening the kiosk
Open the kiosk link the parish gave you for your class, on the tablet or computer at your classroom door. You do not sign in — the link itself is tied to your class.
The kiosk loads and shows your class name at the top, with one search box below it.
Every kiosk screen needs a live class token and a class session scheduled for today, so no picture ships with this guide yet. The parish adds them from a capture pass on staging.
If nobody taps, types, or presses a key for 10 seconds, the kiosk clears the search box and any open pickup-code box on its own. This is normal — it keeps one family's information from sitting on screen for the next family to see.
If the link is wrong, expired, or missing, the kiosk shows Kiosk Unavailable instead of the search box:
| What the kiosk says | What to do |
|---|---|
| "This kiosk link is invalid or expired." | Ask the parish office for a fresh link. |
| "No kiosk token provided." | You opened the page without the link's full address. Ask the parish office to resend it. |
| "Something went wrong. Please try again." | Reload the page. If it keeps happening, tell the parish office. |
2. Checking a child in
Tap the search box and type at least two letters of the child's first or last name, or their SID (student ID) exactly. This kiosk only searches your own class's roster, and only shows children from Pre-K through 5th grade.
If the parish combined your class with another one for today — a leader out sick, or a light week — the kiosk searches both rosters together. A child from the other class still shows their own class under their name, so you can tell which is which.
A child not yet checked in today shows a plain row with an arrow. Tap the row to check them in.
If nobody has scheduled a class meeting for your group today, checking a child in fails with "There is no class session today for this group." Tell the parish office — nobody can check in until a session is scheduled.
Checking a child in opens a confirmation card with the child's name and room. The card does not show the pickup code. The card says the family finds the code in the welcome email and in the parent portal.
The kiosk is a shared screen. For this reason, it never shows the family pickup code or the child's allergy note. The class leader sees the allergy note on the leader roster. Do not read the code out for the family.
Tap Check in another child to clear the card and search for the next one.
A child who is already checked in today cannot be checked in again — the kiosk says "This child is already checked in for today."
3. Checking a child out
Search for the child the same way as check-in. A child already checked in today shows a green Check out pill instead of the arrow. Tap the row to open the pickup-code box, right under that same row — the kiosk does not leave this page.
- Type the pickup code the family gives you. Spaces, dashes and small letters do not matter: "abc def" is the same code as "ABCDEF".
- Tap Verify & Check Out, or press Enter.
The parish gives one pickup code to the whole family, and the family keeps it for the year. A child never receives a code of their own. Open each sibling's own row and verify the same code there — one check-out never releases the other children.
| The kiosk says | What it means |
|---|---|
| "Invalid pickup code. Please try again." | The code is wrong. Ask the family to check it and try again. |
| "This child has already been checked out." | Someone already checked this child out today. |
| "This child has not been checked in yet, so they cannot be checked out." | The code is correct, but nobody checked this child in today. Check the child in first. |
| "That code is correct, but this child is in another classroom today. Please check with the front desk." | The code is correct, but the child is in another room today. Send the family to the front desk. |
| "That code is not for this child. Make sure that you opened the correct child, then try again." | The code belongs to a different child in this class. Nobody was checked out. Open the correct child's row. |
A correct code opens a Checked Out! card with the child's name. Tap Done to clear it.
4. When the pickup code is forgotten
Under the pickup-code box, tap Forgot code?. The kiosk shows the parent name(s) on file, with only the last four digits of their phone number — never the full number, and never the code itself.
Ask the adult at the door to confirm their own name and the last four digits out loud before you go any further. If nothing is on file, the kiosk says "No parent contact on file."
Use it only after you have verified the adult by name and phone. Enter the Staff PIN and tap Override check out — this releases the child without the code, and it cannot be undone once they leave. If you do not have the PIN, ask the parish office; do not guess.
A wrong PIN shows "That staff PIN is not correct." Tap Cancel at any time to close this panel and go back to the plain pickup-code box.
Once a staff-PIN override succeeds, the parish lets the family and staff know it happened on its own. You do not need to call or email anyone yourself.
5. Quick reference card
The whole thing, in five lines
- Open your kiosk link and search for a child by name or SID.
- Tap an unchecked child to check them in. The family has the pickup code from the welcome email and the parent portal.
- Tap a checked-in child's Check out pill, then enter their pickup code to release them.
- No code? Tap Forgot code?, verify the parent by name and phone, then ask a supervisor for the staff-PIN override.
- If nobody touches the screen for 10 seconds, it clears itself for the next family.
When to stop and ask
- The kiosk says Kiosk Unavailable and a fresh link does not fix it.
- Checking in fails because no class session is scheduled today.
- A parent disputes who picked up their child.
- You need the staff-PIN override and do not have it.
Parish office — ask for the person who set up this kiosk link for your class.
Two rules
- Never release a child without a pickup code or a staff-PIN override.
- Check the allergy note on the leader roster before the child goes into your class. The kiosk does not show it.
Thank you for keeping every child safe at the door. The code you check is the one thing that proves who may take them home.
