Running Your Ministry from the Leader Dashboard

USER GUIDE

St. Francis of Assisi Catholic Church · MinistryHow a ministry leader reads the roster, posts announcements, sends messages, requests events, makes shortlinks, and asks for a payment link.

Who this guide is for

You are the leader of a ministry. The parish office gave you the leader role for that ministry.

Why only leaders see this page

The dashboard shows member names, phone numbers, and email addresses, and it sends messages to members. The app limits it to the leaders of that ministry.

What you will do, in one sentence

Open your ministry, select Leader Dashboard, and use one tab for each job.

Last verified against the staging system on 2026-10-10. Prepared October 10, 2026.

1. Open the dashboard

  1. Open Ministries and select your ministry.
  2. Select the leader dashboard. The page title is Leader Dashboard. The address is /ministries/<id>/dashboard.
  3. Select the arrow and the ministry name at the top to go back.

The Join card at the top shows a QR code. Members scan it to join your ministry. If the ministry is closed, the card says there is no QR code.

Under the card, the tabs are Welcome, Roster, Messages, Events, Announcements, Analytics, Shortlinks, Payments, and Forms. A liturgical ministry also has Coverage.

2. Write the welcome text

  1. Select Welcome.
  2. Select Edit. Write the text.
  3. Save. The page shows "Welcome description saved".

Every visitor sees this text on your ministry page.

3. Use the roster

  1. Select Roster. The table shows name, email, phone, role, and the date the person joined.
  2. Select Invite Member and enter an email address or a person ID. Send the invitation.
  3. Select Remove next to a name. Confirm.
  4. Select Export CSV or Print to keep a copy.
Protect member data

The roster has personal data. Do not share the file outside your ministry.

4. Send a message

  1. Select Messages, then New Message.
  2. Choose Send via: Email, SMS, or Email & SMS.
  3. Choose the Recipients: All Members or Volunteers Only.
  4. Type the Subject and the Message.
  5. Select Send Message.

The page shows how many people got the message. Delivery Status shows Delivered, Failed, or Partially Delivered. Members who opted out do not get the message.

5. Post an announcement

  1. Select Announcements, then New Announcement.
  2. Type the Title and the Body.
  3. To keep it at the top, tick Pin this announcement.
  4. To hide it later, set an Auto-expire date.
  5. Select Post Announcement.

6. Request an event or a space

  1. Select Events, then Draft Event.
  2. Fill in the title, date, time, space, and expected attendance.
  3. Select Submit Request.

The parish office reviews the request. The status is Submitted, Approved, or Denied. If the scheduling system is offline, the page saves your request. The parish office adds it by hand.

  1. Select Shortlinks.
  2. Type the Destination URL. A custom short URL and a label are optional.
  3. Select Create Shortlink.
  4. Select Copy Link, or Download QR Code.

The table shows how many Clicks each link has. "This custom URL is already in use" means you must choose another name.

  1. Select Payments, then Request Payment Link.
  2. Fill in the form and submit. The page shows "Payment link request submitted for review".
  3. Wait for approval. Select View Links to see approved links.
